We know that the Academic Year change can be hectic, and we at SIMPL hope that we can make it a little easier. The checklist and tip sheets are available below or can also be downloaded in PDF format.
SIMPL Academic Year Change Administrative Checklist

| Anytime | Train new residents & faculty- find the slides here. |
| Anytime | Pull any data about graduating residents. |
| Switch date | Archive residents & faculty who have left your program. |
| Switch date | Increase the PGY for residents who are advancing starting with the highest PGY group. (Please use ACGME PGY designations for residents.) |
| Switch date/ After training | Add accounts for new residents & faculty who were trained and invite them to register their SIMPL account. [On the add user screen in the admin site, keep the “Send email invite?” box checked above “Add User”. This will auto-send an email to that individual inviting them to register.] |
| Switch date +1/+2 days | Email residents & faculty on behalf of program leadership regarding your program’s SIMPL use expectations. Evidence points to getting at least 2 evaluations per resident per week. |
| Switch date +3/+4 days | Log into the SIMPL admin site and sort by the last login column. Email any newly added SIMPL account holders who have not logged in to verify that they received the email invitation to register their SIMPL account. Resend the registration invitation as needed. |
Academic Year Change SIMPL Engagement Tips Checklist

| Weekly in July | Using the SIMPL admin site, ensure all faculty and residents are logging in and reach out to those who haven’t to inquire about technical problems. |
| July | On behalf of program leadership, announce a SIMPL use competition based on any of these metrics: # of evaluations submitted, response rate, # of dictations submitted, % of evaluations submitted with dictations. |
| July | Review the email sent to you by SIMPL in mid-July to confirm your list of residents and faculty and their data are accurate. |
| Monthly | Head to the SIMPL Reports Dashboard to determine winners for your SIMPL use competition. Notify faculty and residents. |
| Monthly | Use the SIMPL Reports Dashboard and review response rates. Reach out to anyone with less than 80% (suggested). |
| Monthly | Using the SIMPL admin site, identify residents & faculty who have not logged in in the last 21 days and reach out to inquire about technical problems. |
| Quarterly | Have program leadership present your program’s trends and evaluation numbers from the most recent monthly SIMPL program report at a conference or other faculty & resident event. Leadership can reaffirm program’s commitment to SIMPL and acknowledge any people who are recent competition winners. |
